PP Estate Agent

The Client
A highly successful estate agency with two busy, local offices handling property sales and a rapidly growing volume of ‘lettings’.

Problems
The present server does have not have sufficient capacity for the growing number of users and applications, required for the business. The back-up provision was inadequate and the remote office needed to connect to server in order to use the lettings software.

Solution proposed
To supply an in-house server to manage email, central storage and to fully exploit a large database, linked to property management software.

Email:
The mail system is now run through Microsoft Exchange, on local server, providing a tried and tested way to manage emails. With this system in place, the business has been able to set up a collaboration and monitoring process to engage with target groups of potential and existing users. Staff are now kept informed of changing events and such key issues as lender criteria. It is now possible to send emails to mobile devices, keeping staff fully informed as events happen.
Using Exchange, shared calendars can be used to manage staff holidays, schedule appointments and to ensure all members are kept up to speed with critical business communications. Shared contact group have been set up to enable staff to easily find associates’ contact information.

Remote Users
Sales staff from the second office can log in to the server to access lettings software, this provides the facility to centralise the database and ensure that all information in in one place. It also simplifies the overall backup process.

Backup
Using the process within the Small Business Server, we set up the software to back up overnight to external backup drives. These can then be changed each day and taken offsite for added business security.

Future 
As the second office is not running its own server, we have proposed dual storage devices, which will, in the unlikely event of a hardware failure, synchronise all critical company information and provide business much improved continuity.

CD Financial Services Group

The Client
The Charles Derby Group of companies is a financial planning businesses offering advice across the full spectrum of financial services. A Staff of 200 expected to grow to 500.

Problem
The company was merging with other financial services businesses, therefore need to develop and enhance their IT infrastructure in a single location.

Overview
The company operated with a Small Business Server for admin staff and directors, with some of the businesses within the group having local servers and workstations. Everyone needed to use CRM software to manage the day to day running of the business. Email is an essential tool to communicate in this large organisation.

Solutions proposed

We proposed Cloud based email, hosted with a large ‘managed service’ provider. This allowed the business to capitalise on a much bigger technical infrastructure, employing advanced levels of redundancy and backup. This provided the nearest version of an ‘always up’ solution. Additionally, the business only pays for what it uses and has the potential for further growth as required, without the need to add more, expensive hardware.

As staff are spread throughout the country, files had to be organised in such a way that easy access was allowed without compromising security throughout the organisation. In addition to storage, the software provides a tool to improve collaboration and team working on projects.

Future Plans:
We are considering a Cloud based platform that encrypts files that are being uploaded and downloaded from the server.
